Electronic invoicing is becoming the standard in Poland. On 17 June this year, the Council of the European Union agreed that e-invoicing will be mandatory in Poland from 1 January 2024.

Originally, Poland had even announced that from 1 January 2023 all e-invoices would have to be issued and received for approval via the national e-invoicing system “KSeF”. This has now been postponed.

So at the beginning of 2024, electronic invoicing will also be mandatory in the B2B-sector!

What regulations apply now and how can I comply with them?

Future transactions in Poland require a new e-invoice solution that is future-proof due to the planned changes. Therefore, businesses need equally flexible, future-proof solutions that can adapt to the growing number of countries introducing e-invoice legislation.

As with standard electronic data interchange (EDI), it is in principle possible for the in-house team to handle e-invoicing in accordance with Polish regulations – but this can prove difficult. For example, the internal EDI department must not only set up connections for e-invoicing, but also constantly monitor them to ensure that everything runs error-free. The necessary technical requirements must also be in place, which can be very time-consuming, as the requirements for interfaces and formats used can change frequently, as was the case in Italy, for example. Furthermore, the necessary licences/certifications must also be obtained, such as certification as a Peppol Access Point Provider. However, this can be uneconomical and increase the complexity of one’s own IT infrastructure. In addition, the internal handling of e-invoicing becomes increasingly difficult if the company exchanges a large number of invoices, has many business partners or also operates internationally. If e-invoicing is to be implemented effectively and efficiently in your business, the process needs to be managed by someone who knows exactly what is required.
